CSV Export Format
CSV (Comma-Separated Values) format is perfect for importing into Excel, Google Sheets, or accounting software.
What's Included in CSV
Each expense becomes a row with these columns:
- Date
- Description/Name
- Amount
- Category
- Notes
- Event Name
- Has Receipt (Yes/No)
Best Uses for CSV
- Import into QuickBooks, Xero, or other accounting software
- Create custom reports in Excel
- Analyze spending with pivot tables
- Combine data from multiple events
💡 Tip: Open CSV files in Excel or Numbers to create custom charts and analyze your spending trends!
Exporting All Events
Want to export data from multiple events at once?
Method 1: Analytics Export (Coming Soon)
In a future update, you'll be able to export all events combined from the Analytics tab.
Method 2: Export Each Event
For now, export each event individually:
- Export Event 1 to CSV
- Export Event 2 to CSV
- Open both CSVs in Excel/Sheets
- Combine the data manually
💡 Pro Tip: Use Excel's "Consolidate" feature or Google Sheets' IMPORTRANGE to combine multiple CSV files automatically.
Viewing Spending by Category
In-App Analytics (Premium)
- Open the Analytics tab
- View the pie chart showing spending by category
- Tap any category to see detailed breakdown
Category Insights
The category breakdown helps you:
- Identify your biggest expense categories
- Find opportunities to save money
- Understand spending patterns across events
- Plan better budgets for future events
💡 Example: If you notice "Meals" is 40% of your spending, you might consider packing snacks or finding less expensive restaurants for future trips!
Filtering by Date Range
Analytics Date Filters (Premium)
In the Analytics tab, filter your data by:
- This Month - Current calendar month
- Last Month - Previous calendar month
- This Year - Current calendar year
- All Time - Everything in Purr Diem
- Custom Range - Pick specific start and end dates
This helps you answer questions like:
- "How much did I spend on business travel this year?"
- "What were my conference expenses in Q1?"
- "How do my spending patterns compare month-to-month?"
Common Issues
"Export button is grayed out"
Export features require a Premium subscription. Upgrade to access PDF and CSV exports.
"My CSV doesn't open correctly in Excel"
Try these steps:
- Open Excel first
- Go to File → Import
- Choose your CSV file
- Follow the import wizard
- Ensure delimiter is set to "Comma"
"Receipt photos aren't in my PDF"
Check that:
- Your expenses actually have receipt photos attached
- You're exporting to PDF (not CSV)
- The export completed successfully
"The PDF is too large to email"
If your PDF is very large (many high-res receipt photos):
- Save to iCloud Drive and share a link instead
- Use a file transfer service like WeTransfer
- Or export without receipt photos (future feature)
